Amara and John’s wedding was one of those weddings. On August 4, 2026, I sat in a ballroom at the [National Association for Catering & Events](https://www.nace.net/) Experience Conference in New Orleans and heard CM Event Design announced as the recipient of the **NACE ONE Award for the 2025 Wedding of the Year ($50,000 – $100,000)**. And the personalities and working styles of the vendor team matter just as much as what each company provides. Before I ever started recommending vendors, I spent time getting to know Amara & John. Ours came courtesy of the specialty dinner plates. We had already gone through the rental selection process and created Amara’s tablescape when we learned that Curated Events did not have enough of the specialty plates we had selected for the entire wedding. On paper, it might sound like a small detail. But when you have spent months making decisions and picturing exactly how your wedding will look, a change like that can feel much bigger. We scheduled a second rental appointment so we could rebuild the tablescape and find another combination that still felt like Amara’s original vision. That appointment was a hard one. Amara was understandably stressed and disappointed. She had already made this decision, loved what we had created, and now she was being asked to revisit it because of something completely outside of her control. As her planner, seeing her upset was one of those moments you never want to experience. My job wasn’t to tell her it was “just a plate” or rush her into choosing something else. My job was to understand why she was disappointed, take some of that stress off her shoulders and help find a solution that still felt intentional and beautiful. So we slowed down, looked at the options again and rebuilt the tabletop piece by piece. By the end, we had a new design that worked for the full guest count and still felt cohesive with everything we had created for the wedding. And when the wedding day arrived, no guest knew there had ever been an issue. They simply saw a beautiful, finished tablescape. Those are the moments that often never make it into the wedding photos, but they are a very real part of planning. Things change. Inventory disappears. A vendor may not be able to provide exactly what was originally selected. The planner’s job is to protect the vision while also protecting the couple from having to carry every problem themselves. ## **The Details Were Beautiful, But the Experience Was the Goal** It is easy to look at [photographs from a wedding like this](https://cmeventdesign.com/gallery/) and focus on the design. The tablescape. The florals. The lighting. The details. And those things absolutely matter. But a beautiful room has never been my only definition of a successful wedding. The goal is to create an experience where all of those pieces work together. Guests shouldn’t be thinking about timelines, rental counts, vendor arrivals or what had to be changed behind the scenes. They should simply feel like they are part of something special. And the couple should be able to experience their wedding instead of managing it. That is where months of planning, vendor communication, design decisions, logistics and problem-solving finally become invisible. ## **Then Came New Orleans** When this wedding was nominated for a NACE ONE Award, I was already incredibly proud. Being recognized by an organization of event professionals who understand exactly how much work goes into producing a wedding is meaningful on its own. But I still didn’t expect what happened next. Sitting at the awards in New Orleans, when it got to our category, I looked down at my hands waiting for the winner to be announced. For a moment, I didn’t hear our name. And then I realized they were announcing **CM Event Design**. We had won. ## **Wedding of the Year.** There was shock, excitement and probably a few seconds where my brain had to catch up with what was actually happening. It’s the day you’ve been dreaming about for months, maybe even years, and you want to be fully present for every moment of it. Sometimes, that’s exactly how the day goes. But what happens if things go wrong on your wedding day? After more than 20 years planning weddings, I’ve learned something that surprises many couples: no wedding day is ever truly perfect. That doesn’t mean something catastrophic happens at every wedding. Quite the opposite. Most weddings are beautiful, joyful celebrations where everything appears to flow effortlessly. The key word there is *appears*. Behind every seamless wedding is an incredible amount of preparation, communication, teamwork, and problem-solving that most couples never see. Weddings are live events, and live events are unpredictable by nature. There are dozens of vendors working independently while relying on one another. Deliveries arrive throughout the day. Hair and makeup schedules shift. Family members have questions. Traffic happens. Weather changes. Equipment malfunctions. Someone inevitably forgets something. When you have that many moving pieces, it’s unrealistic to expect that every single detail will unfold exactly as planned. The good news is that it doesn’t have to. One of the biggest misconceptions about hiring a wedding planner is that our work is finished once the planning is complete. Many couples picture us simply cueing the ceremony, making sure everyone walks down the aisle in the correct order, and checking vendors in when they arrive. Those responsibilities are certainly part of our role, but they’re only a small piece of what we’re actually doing throughout the day. ## What does a wedding planner do on your wedding day? But there is one reality of all-inclusive venues that couples often do not think about until much later in the planning process: **What happens if the included vendors are not up to the standard you envisioned for your wedding?** Unfortunately, this is something couples sometimes discover during one of the most important milestones in the planning process: the tasting and rental appointment. ## The Pinterest Dream vs. The Reality When couples first book a venue, they are often falling in love with the property itself. The architecture. The views. The convenience. The excitement of imagining loved ones gathered there. What is rarely fully understood at contract signing is this: The venue may be beautiful, but the food, rentals, staffing model, or execution style may not necessarily align with your expectations. Many all-inclusive venues require couples to use in-house catering and rental partners. On paper, this sounds efficient. Will service feel polished and seamless? Will the presentation feel elevated enough for the level of event you are hosting? These details matter. ## A Real Example of Why This Matters Recently, I attended a tasting and rental appointment with a couple at an all-inclusive venue they had already booked. On paper, everything seemed straightforward. Catering and rentals were included, which initially felt like one less thing to worry about. But during the appointment, concerns quickly surfaced. The food quality and presentation did not feel aligned with the elevated experience the couple envisioned for their wedding. While additional hors d’oeuvres had been thoughtfully prepared, the overall execution still felt below expectations for the caliber of celebration they were planning. Then came the details many couples may not realize to question. During the conversation, items that had been clearly outlined in the signed contract suddenly became points of confusion. For example, the couple’s agreement included a welcome drink for guests upon arrival. When discussing options, the venue team stated champagne was not available as part of that offering. Except it was. It was explicitly listed in the signed agreement. Now imagine being a couple in that moment. You are already making dozens of decisions, trusting the professionals in the room, and likely assuming that if someone says something is not included, they must be right. Many couples would not think to immediately pull out a contract and challenge it. But as a planner, I knew the agreement. I knew what had been promised. And I knew the importance of protecting the expectations the couple booked based upon. Then came another major concern: service levels. When discussing cocktail hour and staffing, it became clear that the proposed setup simply was not adequate for the guest count or the experience the couple envisioned. The venue team proposed only a small number of cocktail tables for guests during cocktail hour, far below what would typically be considered industry standard for an event of this size. Guest experience matters. Cocktail hour is not just a transition between ceremony and reception. It is part of the celebration. Guests are mingling, grabbing drinks, enjoying hors d’oeuvres, reconnecting with loved ones, and settling into the energy of the evening. They need places to comfortably gather, set down drinks, and enjoy conversation. And what happens if the couple actually plans to attend cocktail hour? That became another point of concern. The catering team repeatedly suggested the couple likely would not be part of cocktail hour because “most couples are taking photos.” But every wedding timeline is different. Some couples intentionally complete portraits before the ceremony specifically so they can enjoy cocktail hour with their guests. Others prioritize being fully present for as much of the celebration as possible. As planners, we build timelines around our couples priorities, not assumptions. No catering company should be dictating service levels or guest experience based on what “typically happens.” Because what works for one wedding may not work for another. Instead of my couple leaving discouraged or wondering whether their expectations were unreasonable, I was able to professionally advocate on their behalf, reference what had been contractually promised, identify where service levels felt insufficient, and begin conversations around solutions. Your ceremony is deeply personal. The person standing beside you, guiding one of the most emotional moments of your life, should feel like someone you trust and connect with. Too often, couples assume they have to move forward with included services simply because they are bundled into a package. But your wedding should never feel like a one-size-fits-all experience. Once the couple shared their concerns, another question surfaced: Would they still be financially responsible for a service they no longer felt comfortable using? Instead of the couple feeling stuck or pressured to move forward with something that no longer felt right, I was able to step in and negotiate having that portion removed from the agreement so they could find someone who better aligned with their vision and comfort level. Because part of protecting your investment is also protecting your experience. ## This Is Where a Planner Becomes Your Advocate One of the biggest misconceptions about wedding planners is that we simply make timelines and recommend pretty flowers. The reality? We advocate for our clients. When something feels off, we ask the hard questions. We push back. We negotiate. We problem solve. Sometimes that means requesting changes to menus. Sometimes it means sourcing additional rentals. Sometimes it means renegotiating expectations or advocating for flexibility in a contract. And in some cases, it means having difficult conversations with venues about whether the provided services are truly meeting the standards promised during the sales process. Because couples should not have to navigate those conversations alone. Especially when they are emotionally invested, overwhelmed, or simply unsure what is “normal” in the wedding world. A planner knows the difference between industry standards and corners being cut. We know what guest counts realistically require. We know how many cocktail tables actually make sense for a certain size event. We know what polished service should feel like. We know when a vendor feels like the wrong fit. And perhaps most importantly, we know how to have those conversations professionally while protecting the relationship with the venue. ## The Biggest Lesson? Ask Questions Before You Book If you are considering an all-inclusive venue, ask more questions than you think you need to. Ask to see photos of real plated dinners. Ask what rentals are included and how many. Ask what staffing levels look like. Ask whether upgrades are available. Ask what flexibility exists if something does not align with your vision. Ask whether outside vendors are allowed if needed. Ask what happens if an included vendor no longer feels like the right fit. And most importantly? Bring a planner into the conversation early. Because sometimes the difference between a stressful experience and a seamless one is having someone in your corner who knows what questions to ask before there is a problem. Here’s how my life as a real wedding planner compares to the cinematic fantasy: ## The Shoes J.Lo: Wearing stilettos while coordinating a wedding Me: Hauling candles and décor in sneakers at 8:00 AM Let me paint the picture. While J.Lo somehow glides through wedding day in heels without so much as a blister, I’m hauling candle boxes, checking rentals, fluffing napkins, and moving miscellaneous décor pieces in sneakers before most people have had their first cup of coffee. Wedding days start long before the first guest arrives. My team and I are in the trenches making sure every candle is straight, every chair is aligned, every vendor knows where they’re supposed to be, and every detail looks intentional. And trust me, stilettos don’t survive gravel paths, loading docks, dewy lawns, cobblestone, beach sand, or ballroom setup days. Sneakers? Always. Cute sneakers? Even better. ## The Catch J.Lo: Catches a runaway cart and falls into the arms of a doctor groom Me: Catches a family member trying to sneak a peek at the reception room before the bride and groom’s private reveal while texting the DJ, checking on transportation, and tracking down a missing family member (all while trying to remember where I put my phone down even though it’s literally in my hand and I’m texting the DJ). Definitely has Diet Coke stains. My walkie? Has heard panic. My emergency kit? Basically, deserves employee of the month. Because here’s the thing most people don’t realize: a wedding planner isn’t there just to make things pretty. There is something happening in the wedding industry right now that no one really wants to say out loud. But I will. Just because someone planned their own wedding does not make them a wedding planner. In the same way that blowing out candles does not make you a firefighter. And I say that not to be harsh, but because I see the impact of this all the time. Planning your own wedding is a beautiful experience. It is personal, emotional, and something you will always remember. But it is also one day, one set of decisions, one timeline, and one group of vendors. That is very different from walking into a wedding and being responsible for everything happening exactly as it should, in real time, without hesitation. There is no pause button on a wedding day. There is no moment to step back and think things through. There is no space to figure things out as you go. Things are happening whether you are ready or not, and someone has to be ready. What most people do not realize is that weddings are not just about planning. They are about leadership. They are about knowing how to guide a team of vendors who all have different roles, timelines, and priorities, and making sure everyone is aligned without ever making it feel chaotic. They are about seeing what is happening before it becomes a problem and making decisions quickly and confidently so that no one else ever feels the stress behind it. They are also about managing people, because weddings are emotional, even for the calmest and most easygoing families. ## What Experience Actually Looks Like – Boston I had a father of the bride once who completely lost it during cocktail hour. This is not someone who is typically difficult. Not at all. But it was an emotional day. Everything was heightened. He was thinking about his daughter, about the significance of the day, and, if we are being honest, about how everything looked to his friends. He was also a Boston Italian dad, which, if you know, you know. When his preferred vodka was not at the bar because the bride had simply forgotten to order it, he snapped. He started yelling at the server who was handling the private family and bridal party cocktail hour. His frustration escalated quickly, and it became very clear that this moment had the potential to turn into something much bigger. Could someone without experience step into that moment and handle it well? Probably not. Because it was not actually about the vodka. It was about pressure, emotion, and expectations all coming to the surface at once. So, I stepped in. Within twenty minutes, I had multiple bottles of his preferred vodka at all four bars, along with backup bottles just in case. The immediate problem was solved, but more importantly, I addressed what was behind it. I was able to calm him down, shift the energy, and without calling him out directly, guide him toward apologizing to the server. And just like that, the moment passed. Guests never knew. The bride never felt it. The day continued exactly as it should. That is what experience looks like. It is not just fixing the problem. It is understanding the situation behind the problem and knowing how to handle both. ## What Experience Actually Looks Like – Las Vegas Then there are the things you cannot control, like the weather. I had a bride who was absolutely convinced that it was somehow my fault that it rained on her wedding day. It was supposed to be a fully outdoor experience with the ceremony, reception, and after party all taking place outside. Of course we had a backup plan in place. I always do. What she did not fully account for was that it was monsoon season in Las Vegas. When the rain came down, she was upset, emotional, and looking for someone to blame. That happens. These are high emotion days, and sometimes that emotion needs somewhere to go. Am I powerful enough to control the weather on your wedding day? Don’t I wish! But am I experienced enough to handle it calmly, quickly, and without letting the entire day fall apart? Absolutely. We shifted everything seamlessly. The space was still beautiful, the flow still worked, and the experience still felt intentional. Not one of her one hundred guests knew what had changed, and every single one of them had an incredible time. Because at the end of the day, it is not about perfection. It is about how it is handled. This is where the difference really shows. When you hire someone who has only planned their own wedding, you are not just hiring someone new. You are taking on the learning curve with them. You are hoping that when something unexpected happens, and it will, they know what to do. If they do not, that responsibility does not disappear. It shifts. It shifts to you, to your family, and to your vendors. Suddenly, the people who are supposed to be enjoying the day are the ones trying to manage it, and that is not how a wedding should feel. There is also the conversation around pricing, which people do not always want to address directly. If something feels too good to be true, it usually is. They are newer, they are still learning, and they have not yet been in enough situations to know how to handle the unexpected with confidence. While everyone starts somewhere, your wedding is not the place to take that risk. At the end of the day, this is not about titles. It is about trust. It is about knowing that the person you hired is not going to hesitate when something shifts. It is about knowing they will not look around for direction or need to be told what to do next. You only get one wedding day. It is not a practice run. It is not the time to hope everything comes together. It is the moment. And it deserves someone who knows exactly how to handle it. Hiring an experienced planner is not just a nice addition. It is one of the most important decisions you will make throughout the entire process. Hire someone who has the years of experience, the reviews to back it up, and the trust and support of strong vendor teams behind them. That kind of reputation is built over time, not overnight. While it may feel early, the truth is that the most sought-after venues, especially at luxury resorts in Mexico and the Caribbean, are already booking up. Planning ahead not only ensures access to your dream location and ideal dates. It also allows for a more curated, stress-free experience for both you and your guests. ## So, Why Now? ### Prime Dates Go Fast Saturday’s during peak season (January – May) are always the first to go. Resorts limit how many weddings they host per day, and often per weekend, especially for larger guest counts. ### Room Blocks Take Time If you’re inviting 40+ guests, securing a hotel or resort room block is essential. Rates, room categories and group perks are often based on availability. Planning now means better pricing and more options. ### Vendor Selection Is Competitive Want that amazing photographer you found on Instagram? Or the hair and makeup artist whose work you love? Venue selection, budget development, contract review and vendor negotiation, design, timelines, guest logistics, and running the day so that nobody has to ask you a question during your own wedding. The short version is that a planner carries the work and the decisions so you can be present for it. ### [How much does a wedding planner cost?](#) Initial investment starts at $4,500. There is no package pricing beyond that, because there are no packages: every engagement is quoted after a conversation about your venue, your guest count and how much of the planning you want carried for you. Scope drives cost, which is why the number comes after the conversation rather than before it. ### [When should we hire a wedding planner?](#) As soon as you have a date in mind, and ideally 12 to 18 months out. The venues and vendors most couples want are booked furthest ahead, so hiring early protects both your first choice and your negotiating position. If your date is closer than that, say so, and we will tell you honestly what is still possible. ### [What is the difference between a wedding planner and a venue coordinator?](#) A venue coordinator works for the venue. Your planner works for you. Her path to planning runs through more than two decades inside the hotel industry. She started at the front desk and worked her way up through guest services leadership before moving into catering sales with Starwood Hotels. From there she led social catering at Sonesta International Hotels in the Boston area, then spent six years in Las Vegas with MGM Resorts International, planning high-end weddings and events at properties including The Mirage and Bellagio. She founded CM Event Design in April 2019. That operator’s background is the foundation of how she plans. Christine has sat on the venue’s side of the table for hundreds of weddings, which is why her clients get an advocate who reads every contract, negotiates with vendors from experience, and knows what a venue can actually do. She works directly with every couple from first conversation through the final send-off. The city’s most sought-after venues book roughly 18 months ahead for peak dates, May through October, so early planning protects your first-choice room and your negotiating position. ### [How much does a wedding planner cost in Chicago?](#) Initial investment starts at $4,500. There is no package pricing beyond that, because there are no packages: every engagement is quoted after a conversation about your venue, your guest count and how much of the planning you want carried for you. The 90-day wedding management entry point is the lightest way in and full-service planning is the fullest, with room to sit anywhere between. ### [What is the difference between full planning and 90-day wedding management?](#) Full-service planning starts at the beginning: venue selection, budget, design and every vendor decision along the way. Your guests get a rate that holds, and you do not end up paying for rooms nobody slept in. ### [Should we get married downtown or in one of the neighborhoods?](#) Both, honestly, and they make different weddings. Downtown gives you the skyline, the river and the hotels, with the ceremony, the reception and every out-of-town guest inside a few blocks. Everything is available with real flame or LED, and the mix is chosen for your room rather than sold as a fixed set. ### [Can we rent candles without booking planning?](#) Yes. Candlelight is its own offering, and we rent to couples who are not planning clients as well as to other planners, florists and vendors who need it for their own events. ### [What does candle rental cost?](#) It is quoted per event, with a minimum investment of $1,250 plus delivery and setup. The final number depends on the room, the table count and how much light you want in it. ### [How far ahead should we reserve?](#) As far out as you can, because we take only one candle rental per weekend. Quantities can be adjusted as the date gets closer, but the weekend itself is what goes, so reserve as soon as you have a date and a venue. ### [What if our venue does not allow open flame?](#) Then we go LED, and it is not a compromise. We carry LED pillars, tapers and votives, so the look holds in rooms where an open flame is not permitted. ### [Do you deliver and set up?](#) Yes. We deliver and set the candles rather than handing over boxes. Delivery and setup are quoted on top of the rental minimum, so you see both numbers rather than one blended figure. ### [Do you style the tables, or drop off?](#) It depends on what else is going on the table. If it is candlelight only, with no florals, we will style the tables. Where a planner or florist is dressing them, they often prefer us to deliver and set the candles so they can style to the couple’s vision. ### [Can we see the collection before we commit?](#) Yes. Send your date and your venue and we will show you what is available and how it would sit in your room. Downtown puts your guests inside walking distance of the music and the hotels. Franklin gives you historic streets and estate properties, twenty minutes and a world away. The farm and barn venues across Middle Tennessee give you space and a view, and they ask more of the logistics.
